The C Practice - Terms and Conditions of Service

1. Introduction

Services are delivered under The C Practice brand. The legal entity responsible for service delivery, invoicing and contracting will be identified at the point of booking and/or invoicing.

By booking, attending, or engaging with services provided by The C Practice, clients confirm that they have read, understood, and accepted these Terms and Conditions.

2. Services

The C Practice provides occupational therapy services including, but not limited to:

  • Consultations
  • Assessment Pathways
  • Ongoing Occupational Therapy
  • Reports and Professional Documentation
  • School and Professional Liaison
  • Training and Consultancy

Services are tailored to the individual child, young person, family, organisation, or professional referral question.

3. Booking and Payment

Payment may be made:

  • Online through the booking system
  • By bank transfer
  • By card payment
  • By cash (where agreed)

Payment arrangements vary according to the service booked.

Consultations

Payment is required prior to the appointment.

Online Services

Where services are delivered online, clients are responsible for ensuring access to an appropriate device, internet connection, and private environment. The C Practice cannot be held responsible for interruptions caused by technical difficulties outside its control.

Assessment Pathways

Payment is required prior to commencement of the Assessment Pathway.

Ongoing Occupational Therapy

Payment is required before or on the day of the appointment unless alternative arrangements have been agreed in advance.

Outstanding balances may result in services being paused until payment is received.

4. Parent / Guardian Authority

The person booking or engaging services confirms that they have legal authority to consent to occupational therapy services on behalf of the child or young person. Where parental responsibility is shared, it is the responsibility of the person booking services to ensure that any necessary consent has been obtained.

5. Consultations

Consultations are designed to explore strengths, participation, current concerns, environments, and support needs.

Recommendations made during consultations represent professional opinion based on the information available at the time.

A consultation does not constitute a formal occupational therapy assessment unless specifically stated.

6. Assessment Pathways

The C Practice offers:

  • Focused Assessment Pathway
  • Comprehensive Assessment Pathway

Assessment pathways are individualised and may include:

  • Consultation
  • Parent questionnaires
  • Observation
  • Face-to-face assessment
  • Standardised assessment tools where appropriate
  • Liaison with relevant professionals
  • Written reports and recommendations

Assessment activities will vary depending on the referral question and the needs of the child or young person.

If additional areas of need emerge during a Focused Assessment Pathway, a transition to a Comprehensive Assessment Pathway may be recommended. Any additional costs will be discussed and agreed in advance.

Where a new assessment question emerges following previous involvement, a new assessment pathway recommendation may be required.

7. Reports and Documentation

Reports, recommendations, supporting letters, and professional opinions are prepared for the purpose requested and based on information available at the time of writing.

Clients may share reports with relevant professionals, schools, healthcare providers, and agencies involved in supporting the child or young person. Reports may not be altered, edited, reproduced in part, or presented in a misleading manner without written permission from The C Practice.

Reports and professional opinions are based on information available at the time of assessment and should not be interpreted as a guarantee of specific outcomes.

Reports are prepared for the stated purpose and intended recipient(s) only.

8. School and Professional Liaison

Communication with schools, healthcare professionals, and other agencies will only occur with appropriate consent unless there is a safeguarding or legal requirement to share information.

Additional charges may apply for meetings, visits, record reviews, and professional liaison.

9. Cancellation and Non-Attendance

Consultations

  • More than 48 hours notice: Full refund.
  • Less than 48 hours notice: Full fee payable.
  • Bereavement: No cancellation charge.
  • Exceptional circumstances will be considered on an individual basis.

Assessment Pathways

  • More than 7 days before the initial consultation: Full refund.
  • Between 48 hours and 7 days before the initial consultation: Administration fee of £80 / €90 retained.
  • Less than 48 hours before the initial consultation: Consultation fee of £150 / €180 retained.
  • Once the initial consultation has taken place, fees relating to work already completed are non-refundable.
  • Bereavement: No cancellation charge.
  • Exceptional circumstances will be considered on an individual basis.

Ongoing Occupational Therapy

  • More than 24 hours notice: No charge.
  • Less than 24 hours notice: Full session fee payable.
  • Non-attendance: Full session fee payable.
  • Bereavement: No cancellation charge.
  • Exceptional circumstances will be considered on an individual basis.

10. Confidentiality

The C Practice operates a confidential service.

Information will not normally be shared without consent except where:

  • There is a safeguarding concern.
  • There is a legal obligation to disclose information.
  • Disclosure is necessary to protect a child, young person, or another person from significant harm.

11. Safeguarding

The C Practice has a professional and legal duty to act where there are concerns regarding the safety or welfare of a child, young person, or vulnerable individual.

Safeguarding concerns may require information to be shared with relevant agencies without prior consent.

12. Data Protection

The C Practice is committed to protecting personal information and complying with applicable data protection legislation, including GDPR and UK GDPR where relevant.

13. Ending Services

Clients may end services at any time.

The C Practice may discontinue services where:

  • Services are no longer clinically appropriate.
  • Fees remain unpaid.
  • Professional boundaries are not maintained.
  • Circumstances arise which prevent safe and effective service delivery.

Any outstanding fees remain payable.

14. Complaints

The C Practice aims to provide a high-quality service.

If concerns arise, clients are encouraged to raise them directly in the first instance.

A copy of the Complaints Procedure is available on request and via the client portal.

15. Acceptance of Terms

Booking, payment for, or attendance at services provided by The C Practice constitutes acceptance of these Terms and Conditions.

These Terms and Conditions shall be governed by the laws applicable to the legal entity identified at the point of booking and/or invoicing.
